Show Policies

With over 20,000 people in one building, it is our goal to ensure the safety of and enjoyment for all attendees and exhibitors at the show. We appreciate the cooperation of all who attend or otherwise participate in the event ("you") in adhering to the show policies below.

Admission Policy/Required Proof of Business

All persons planning to attend Natural Products Expo must be registered. Natural Products Expo is a private trade show open to the trade only, and not open to the public. Individuals who cannot document their direct, professional affiliation to the trade are not qualified to attend the trade show.

Announcements

Announcements are only made for lost children. Message boards and lost and found are available at the Show Office. We encourage attendees to designate a meeting spot in the case your group becomes separated.

Child Policy

Anyone 16 years and older must qualify to register as an attendee or exhibitor and will be required to show business proof (for examples click here). Children 15 years and younger are required to have a Children's Badge and must be under adult supervision at all times. If a child is found without adult supervision they will be escorted from the show floor and taken to the show office, and their badge will be confiscated. If we are unable to reach the registered adult we reserve the right to contact the local police department to supervise them. You will be required to present proof of age (i.e. birth certificate, government/state issued ID). Only one Children's Badge will be issued per registered adult. All Children's Badges must be picked up at the child care office. No one under 18 years of age will be allowed on the show floor during move-in and move-out. Childcare Information and Registration.

Sample Bag Policy

Only official bags (quantities are limited) distributed at Registration will be available at the Natural Products Expo East. Not all registration categories may be eligible to receive the bag.

It has been determined from both attendee and exhibitor feedback that one sample bag per day is sufficient for buyers to bring home product and literature from the show floor. Therefore, each attendee is permitted to exit the show floor with one sample bag per day. Additional bags will be donated to local food banks and charities. At the close of the show on Saturday, exhibitors can donate their remaining product to the local food bank or authorize an attendee to take the product with them. In the instance an exhibitor would like to authorize an attendee to take a large quantity of product samples that exceed more than one sample bag, the exhibitor and attendee must visit the GES Service Center prior to the close of the show floor at 4:00 pm. At this time, the exhibitor must complete either an Outbound Material Handling Form to send the product home with the attendee or a Bill of Lading to ship the product to the attendee. GES will provide further instructions to the attendee on pick-up location and time. Product may not be sold to an attendee.

Literature, Product Distribution

Company promotion, sample and literature distribution by exhibitors must be done within their contracted exhibit space, with the exception of designated sponsorships and marketing opportunities.

Suitcasing

Only contracted exhibitors are permitted to promote their products, services or company at the Natural Products Expo East. Unless a marketing opportunity (i.e., sponsorship, showcase, exhibitor-presented seminar) has been contracted by the exhibitor, all company promotion and product sampling must occur within the contracted booth space. This includes, but is not limited to "roaming" characters, handing out flyers, approaching exhibitor booths to sell products, leaving and/or distributing product information in public spaces and show floor aisles, all of which are prohibited. Exhibitors found doing so will be sent back to their booth space and materials left will be recycled. Attendees will be asked to leave the show and forfeit their badge. Any "suitcasers" should be reported to the Show Office.

Meetings, Events & Seminars

All meetings, events and seminars must be registered with Penton Media, Inc. d/b/a Natural Products Expo East ("Expo Show Management"). Meetings, events and seminars not designated or organized as a part of the show, are not permitted during show floor hours or Expo hosted events. Events, seminars and meetings must be registered and approved by using the Exhibitor Hosted Events Form. Exhibitors have the option to publish their meeting or events on the Expo website or indicate on the form it is a private event. If it is indicated as a private event, it will not be published on the website. Exhibitors wishing to organize a seminar are encouraged to do so through the Exhibitor Presented Seminar program, in which they receive promotion to all show attendees through the website, and onsite schedules and signage (deadlines apply).

No Smoking

All Expo areas are non-smoking. Anyone who wishes to smoke may do so outside of the building. We appreciate your cooperation.

No Pets

Pets are not allowed at Natural Products Expo East. The only exception is for service animals. Please contact Customer Service with questions.

Photography/Videography

Exhibitors are permitted to photograph and/or video tape their own booth. Working members of the press are required to check-in at the Press Room to receive authorization in order to photograph and/or videotape at the show. No other photography or videography is permitted. Exhibitors who do not want the press to photograph or video tape their booth should inform the Press Room staff onsite.

You understand that Expo Show Management or its authorized representatives may conduct interviews and may take photographs and/or videotape at the Natural Products Expo. You authorize Expo Show Management, and hereby grant to Expo Show Management all rights necessary, to: record your entire physical and/or virtual appearance, including your likeness, voice, sounds and verbal statements (collectively, "Likeness"), during and in connection with Natural Products Expo, on film, videotape, audio tape, electronically, or digitally; edit such recording at Expo Show Management's discretion, use all or any portion thereof and/or incorporate same into a format chosen by Expo Show Management (any content or material resulting from such editing, use, and/or incorporation of such recording, the "Work"); reproduce, distribute, display, exhibit, make derivative works of, and otherwise use or authorize the use of the Work and your Likeness and biographical information concerning you; in each of the foregoing cases, worldwide in perpetuity, in any format or medium now known or later developed, for Expo Show Management's current or future educational, informational, commercial, or other business purposes; and license, sublicense, or otherwise authorize third parties to do any or all of the foregoing. You acknowledge that Expo Show Management shall be the exclusive owner of all right, title, and interest (including copyright) in and to the Work, and expressly waive any right of inspection or approval of the uses thereof, whether by Penton or a third party, and any claim for compensation in connection with same.

Rolling Carts & Strollers

For safety reasons, rolling carts, rolling bags, strollers, and bags with wheels are not permitted on the show floor during show floor hours, except where such rolling carts or bags are a medical necessity. Coat Check is available to store these items. Exhibitors may roll in small briefcases and small backpacks prior to the show floor opening each day from 7:00-10:00 am. Please go to the Show Office with any onsite questions or needs. If rolling bags are found on the floor the attendee may be asked to leave the show floor and may have their badge confiscated.

Badge Reprint Fee

In the event that you lose or forget your badge there will be a reprint fee for a replacement badge. To have a replacement badge printed please go to registration with your identification, and one will be printed for you for as detailed below:

Reprint Badge fees are:
Retailer: $55.00
Non-Retailer: $100.00
Exhibitor: $100.00

Identification policy/ Right to Verify Identity

Identification is required at all times while attending The Natural Products Expo East. It will be required for entry to the show at all times.

The Natural Products Expo reserves the right to verify the identity of any persons, accepting and/or using a show badge. Any person found using another person's badge will have the badge confiscated and will be asked to leave the premises or correctly register.

Email Policy

The Natural Products Expos and New Hope Natural Media require a unique email address be provided for all registrations to attend our in person events. The unique email address is required to manage our directory of all attendees. It is also used by exhibitors and attendees to effectively provide follow up post event with people who scanned your badge, and provide the attendees a list of exhibitors that they visited onsite.

Your contact information, including email addresses, will be used periodically to notify you of additional in person events, virtual events, as well as products from New Hope Natural Media or its sponsors or other business partners. If at any time you would like to opt out of these emails you can do so by opting out at the bottom of the email. By registering, you agree that your contact information may be shared as described herein and in our Privacy Policy, available at http://www.penton.com/PrivacyStatement/tabid/75/Default.aspx.

Refund Policy

There will be no refunds for any reasons.

Hold Harmless Policy

You hereby agree to defend, indemnify, and hold harmless, and to the maximum extent permissible under applicable law you hereby expressly release and discharge, Expo Show Management, its affiliates, and each of their respective officers, directors, employees, vendors, agents, contractors, and owners ("Related Parties") from any and all alleged and/or actual liability, claims, actions, lawsuits, costs, fees (including reasonable attorney fees), proceedings, expenses, damages, or losses, of any kind ("Claim") in connection with, or which arise out of or result from, your attendance at and/or participation in the event, including but not limited to any Claim for property damage and/or personal injuries, whether as a result of your negligence or willful misconduct, your violation of these or any other policies of, or agreements with, Expo Show Management or the event venue, your violation of any applicable law, regulation, rule, or ordinance, or otherwise, in each case whether or not foreseeable, and in each case except to the extent such Claim is directly caused by the gross negligence or willful misconduct of Expo Show Management.

Right to Deny or Remove

We reserve right to deny admission to, or remove any party from, Natural Products Expo East for any reason.
